Most never receive a title. As a result, the signed record is usually the only document establishing who owns the machine and what was paid for it.

List full legal names, addresses, and a phone number or email for both parties. Where a farm or a company owns the machine, use the entity’s legal name and note who is signing for it.

Description of the Tractor

Describe the machine so it could not be confused with another. Include:

• Make, model, and year
• Serial number, plus the engine serial number
• Horsepower, at the engine and at the PTO
• Two-wheel or four-wheel drive
• Hours on the meter, and whether the meter has been replaced
• Transmission type, and the number of remotes
• Three-point hitch category and PTO speed

Implements and Attachments

List every implement separately, with its own make, model, and condition. A loader, bucket, forks, box blade, brush hog, or mower deck each deserve a line of their own.

Price and Terms

State the amount and how it was paid, then record what you agreed: an as-is sale, a demonstration, a pickup deadline, or who arranges transport for a machine that cannot be driven far.

Hours matter more than age on a tractor, but neither tells the whole story. Maintenance history and how the machine was worked matter just as much.

Cover this before you commit:

• Hours on the meter, and whether the meter is original
• Recent service: oil, filters, hydraulic fluid, and coolant
• Hydraulic performance, including any leaks at the loader or the remotes
• Tire condition, since agricultural tires are expensive to replace
• Whether the machine has been used commercially or on one property
• Any welding, structural repair, or replaced major component

Start it cold if you can. A tractor that has been warmed up before you arrive hides the starting behaviour that tells you most about its condition.

Be explicit about the implements. Writing the loader and bucket into the description costs nothing and prevents the most common argument in these sales.

Tip: Photograph the serial plate, the hour meter, and each implement before the handover, then keep the images with your copy. Rules on registering farm equipment and on operating it on public roads differ from place to place, so check your state’s official website if either applies to you.

Whether a tractor bill of sale is needed, and who accepts it, depends on where you farm and why you want the record. It documents a private sale rather than registering anything.

Worth confirming before you sign:

• What your state’s official website says about sales tax and any agricultural exemption
• Whether registration applies if the machine travels on public roads
• What your insurer wants as proof of ownership and value
• Whether a lender holds a security interest in the machine

Business sales carry more weight than household ones. If the tractor is a farm asset being sold or written off, or if it secures a loan, an accountant or a local attorney should look at the arrangement first.

Sign once the serial number, the hours, and the implement list are all right, because those three are what a later disagreement turns on. Both parties should print their names, sign, and date the same copy.

Then finish up:

1. Give the buyer and the seller each a signed copy, printed or as a PDF.
2. Hand over manuals, service records, keys, and any spare parts included.
3. Attach the photographs you took to both copies.
4. Confirm the transport arrangement in writing before anyone travels.
5. Keep your copy with your equipment or farm asset records.

Notarization is unusual on farm equipment. Even so, a financed machine or a large dispersal sale sometimes calls for it, so ask the other party first.
