A debt validation letter asks a collector to prove that a debt is real, that the amount is right, and that the collector has the authority to pursue it. You send it to the collection agency rather than to the original creditor.

The request is routine, not adversarial. Debts get sold, resold, and bundled, and details go astray each time a file changes hands. Asking for proof before you pay is how you avoid paying the wrong party or the wrong amount.

Validation is also not denial. Sending one does not claim the debt is fake. It says you want to see the paperwork before any money moves.

You may see the term debt verification used nearby. People use the two loosely and often interchangeably, so focus on what you are actually asking the collector to produce rather than on the label.

Timing is the most important decision here, and it is rarely a comfortable one, because collection notices tend to arrive when you least want to open them.

Send your request soon after a collector first contacts you. The window for making the request is limited, so read the notice the collector sent and check the Consumer Financial Protection Bureau for the current requirement instead of setting the letter aside.

A validation request makes particular sense when:

• You do not recognize the debt at all.
• The balance looks wrong, or has grown in ways you cannot account for.
• A company you have never dealt with is the one contacting you.
• You believe the debt was already paid, settled, or discharged.
• Several collectors appear to be chasing the same account.

Sending one is worthwhile even when you think the debt probably is yours. Confirming the amount and the current owner protects you either way.

A vague request invites a vague answer. Name the specific items you want to see.

Ask for:

• The name and address of the original creditor.
• The original account number, or enough of it to identify the account.
• A record showing how the collector arrived at the current balance, including interest and fees added since.
• Documentation showing the collector owns the debt or has authority to collect it.
• The date of the last payment or activity on the account.
• Proof of licensing to collect in your state, where licensing applies.

Ask for the underlying agreement as well. A signed contract or account application is the strongest evidence that an account belongs to you.

Keep the list to items a collector could reasonably pull from its own file. Sweeping demands for every document ever created tend to invite a brush-off.

Tip: Ask that further contact come in writing. A paper trail beats a phone conversation that neither side can reconstruct afterward.

What the Letter Should Not Contain

Leave out apologies, payment offers, partial payments, and promises to pay once matters settle. None of that belongs in a request for proof.

Signature and Date

Sign and date the letter, then keep a copy before it leaves your hands.

Small missteps can undercut an otherwise solid letter.

• Waiting too long. The request window is limited, so act on the notice rather than filing it away.
• Sending payment alongside the request. Even a small amount can change your position, and it undercuts the point of asking for proof.
• Acknowledging the debt in writing. Rules on what counts as acknowledgement vary by state, so check your state’s official website before writing anything beyond the request itself.
• Negotiating in the same letter. Keep validation and settlement as separate conversations.
• Writing in anger. A calm, factual letter is considerably harder to dismiss.
• Sending it without proof of delivery. If a collector says nothing arrived, you want a receipt in hand.

Debt collection is stressful, and none of this means you have done something wrong by owing money. Asking for proof is a routine step, not a confrontation.

Federal law sets out what a collector must do when you request validation and how it may contact you. The specifics, including the length of the request window and what a collector must pause while validating, are the kind of detail that changes over time. Check the Consumer Financial Protection Bureau and the notice you received for current requirements rather than relying on a figure from memory.

Your state may add protections, and it may license collectors operating there. Check your state’s official website or ask your state attorney general’s office about what applies where you live. Time limits on collecting older debts are also set at state level and differ considerably.
