Project and Contract References

Name the project, the site address, the contract or job number, and the billing period covered. Subcontractors should also reference the general contractor’s purchase order.

Schedule of Values or Work Completed

List each phase of work with its contract value, the share complete this period, and the dollar amount earned. Clients scrutinize this section most, so keep the line items identical to the ones in the contract.

Labor

Show crew hours by trade and the applicable rate. On prevailing wage or union projects, the contract usually specifies the documentation required, so follow it exactly.

Materials and Equipment

Itemize materials delivered or installed, plus equipment rental and delivery costs. Attach supplier receipts when your contract calls for cost documentation.

Change Orders

Bill approved change orders on their own lines, each referencing its change order number and approval date. Never fold unapproved extra work into a progress line, because that is the fastest route to a rejected submission.

Totals, Retainage, and Balance

Show the amount earned to date, less previous payments and any retainage withheld, to arrive at the current amount due.

Tip: Retainage is a contract term, not a fixed rule, and the percentage and release timing come from the agreement you signed. Read those clauses before your first billing cycle so the withheld amount never comes as a surprise.

Licensing, permits, and insurance certificates often gate payment on larger jobs too. Confirm what the owner or general contractor needs on file before you submit anything.

Disputes usually trace back to documentation rather than the amounts themselves. Keep daily logs, signed change orders, and delivery tickets filed against each billing period. A challenged line is then settled with a record instead of a recollection.

Getting paid on a project is mostly a matter of submitting the right paperwork the right way.

1. Send the file in the format the contract specifies, as a PDF unless the client requires their own system.
2. Include every supporting document the contract requires, such as lien waivers, certified payroll, or receipts.
3. Submit on the billing date named in the contract, since many owners pay on fixed cycles and a late arrival waits a full month.
4. Track the approval, not just the send, because construction invoices often pass through several approvers.

Consistency helps here as well. When each submission mirrors the last one in structure and line items, reviewers approve it faster and query it less.

Approval cycles are worth learning early. Once you know who signs off and when, you can time each submission to land before the cutoff rather than just after it.
