An employee letter of recommendation is a written endorsement from an employer, manager, or colleague supporting someone’s application for a new role. It confirms how you worked together and describes what the person actually did.
Departing employees ask for one most often, usually on good terms and often at the point of resignation. Current employees also request them for internal moves, external applications, professional bodies, and further study.
The letter is separate from a reference check. A recruiter may still telephone your organization and receive whatever your official policy allows, which is frequently much less than a personal letter contains.
It is also not a testimonial. The reader is deciding whether to hire someone, so useful detail about scope, results and working habits does far more than warmth.

Describe how they work, not just what they delivered. Reliability, initiative, and how they handle pressure are what a new manager is really buying.
Comment on collaboration, communication, and how they treated colleagues and customers.
A brief neutral line prevents unhelpful speculation. Only include it if the employee is comfortable and it is accurate.
Close with a clear recommendation and an offer to answer questions. Say whether you would employ them again, since that is the question the reader is really asking.
Everything in an employee letter of recommendation should be something you observed and could support if asked. That protects the employee, your organization, and you.
Stick to work. Health, family circumstances, personal characteristics, and anything the employee has not asked you to disclose all belong outside the letter, however well-intentioned.
Avoid the temptation to smooth over a mixed record with vague warmth. Experienced readers treat a letter with no specifics as a signal, and a candidate is better served by a short honest letter than a long empty one.
Tip: Show the employee what you have written before you send it. They may spot an inaccurate date or an outdated job title, and they will know whether the reason-for-leaving line reflects what they are telling employers.

Say so early and privately. An employee who hears in week one that you cannot write enthusiastically has time to approach someone else, whereas a lukewarm letter arriving at the deadline does real damage.
