A personal letter of recommendation is a written statement about someone’s character from a person who knows them outside work or study. It is sometimes called a character reference, and it describes what you have seen of how they behave.

Readers treat these differently from professional references precisely because anyone can write one. That is not a reason to decline; it is a reason to be concrete.

Because the writer has no institutional standing, credibility comes entirely from specificity. A letter that names how long you have known someone and describes something they actually did is worth far more than one full of warm adjectives.

Personal letters are requested in a wide range of situations, most of them ones where no employer or school can speak to the person. Common cases include:

• A rental application where the applicant has little rental history.
• A club, society, or membership application.
• A volunteer role, particularly one involving responsibility for others.
• A scholarship or award with a character component.
• A professional body or licensing application asking for personal references.

Give your full name, your occupation, and contact information. A reader needs to know who is vouching.

How You Know Them

State the relationship and how long it has run. Precision matters: give years rather than saying a long time.

Say how regularly and in what context. This tells the reader how much your observation is worth.

Character Shown Through Something You Saw

Describe an actual instance. Someone who drove a neighbour to appointments for months, or owned a mistake that would have been easy to hide, becomes real on the page.

Reliability

Say whether they do what they say they will do. It is the quality most readers are checking for.

How They Treat Others

Comment on their conduct towards people who cannot do anything for them.

Your Recommendation and Contact Line

State your view plainly and confirm you are willing to be contacted. Note anything you are not in a position to comment on, since that makes the rest more credible.

The most common weakness in these letters is a writer reaching beyond their own experience.

Write only about what you have seen yourself. If you know someone as a neighbour, describe them as a neighbour. Speculating about their work, finances, or family life adds nothing a reader can rely on and undermines the parts of the letter that are genuinely grounded.

Say what you do not know, where it helps. A letter that states plainly that you have known the person socially for eleven years and cannot speak to their professional work reads as honest and makes the rest more credible.

Leave out anything the person has not asked you to share. You may know things about their circumstances that are not yours to put in writing.

Declining is always available to you. If you do not know someone well enough to say anything useful, telling them promptly is kinder than a thin letter that a reader will discount anyway.

Some requests look like a character reference but are not, and answering the wrong question can hurt rather than help.

• Court or legal proceedings, where the format and content are directed by the process.
• Immigration matters, where an attorney should say whether a letter helps and what it should cover.
• Employment references, where your employer’s policy governs what may be said.
• Tenancy references from a landlord, which are factual records rather than character statements.
• Anything asking you to confirm facts you have no way of verifying.

None of this means you cannot help. It means the letter should be shaped by whoever is running the process, so that what you write actually answers the question being asked rather than a general one.
