A volunteer letter of recommendation is a written endorsement based on unpaid work someone did for an organization. A coordinator, supervisor, or charity officer writes it, and the reader uses it much as they would an employment reference.

It matters most for people whose paid record is thin or absent. Students, career changers, retirees, newcomers to a country, and anyone re-entering work after a break often have their strongest evidence of reliability in volunteering.

The letter can also run the other way, supporting someone applying for a volunteer position rather than describing one they held. Both uses are common, and the first thing to establish is which you are being asked for.

The best writer is whoever actually supervised the volunteer, regardless of seniority. Sensible choices include:

• A volunteer coordinator who managed rotas and attendance.
• A shift or team supervisor who worked alongside them directly.
• A programme manager for a specific project they contributed to.
• A charity trustee or officer, for long-standing or governance roles.
• A teacher or chaplain who oversaw a school or community service scheme.
• A fundraising or events lead they reported to.

Ask what the letter is for before writing. A university application, a paid job, an immigration or court-related process, and another volunteer role all need different emphasis, and some of them need advice from someone other than you.

Many volunteer roles involve children, patients, older people, or others in vulnerable situations, and references for that work carry extra responsibility.

Say only what you know from your own supervision and your organization’s records. If you are asked to confirm that someone completed checks, training, or induction, confirm only what your records actually show and let the receiving organization run its own process.

Do not include information about the people the volunteer supported. Service users, patients, and pupils have a right to privacy that a reference does not override, and describing a specific person they helped can breach it even without naming anyone.

If you have any safeguarding concern about the volunteer, do not manage it through a reference. Raise it through your organization’s own process and take advice before responding.

If you are the volunteer, a little preparation gets you a much stronger letter.

• Ask the person who actually supervised you, not the most senior name you know.
• Give at least two weeks, since coordinators are often volunteers themselves.
• Send your own record of dates, hours, and duties to save them digging.
• Say clearly what the letter is for and what the reader wants to see.
• Provide the deadline and the submission address in writing.
• Say thank you afterwards and tell them the outcome.

If your volunteering was arranged through a scheme, a school, or a court-directed programme, check with whoever administers it before requesting a letter. Those processes usually have their own paperwork and their own rules about what a supervisor may confirm, and the administrator can tell you what is actually needed.

Volunteer references are often read as proof of participation as well as character, so the factual parts need to be right.

Use your records rather than memory. Rotas, sign-in sheets, and training logs will give you actual dates, and an approximate figure that later turns out to be wrong undermines everything else in the letter.

Say how you know the figures. Noting that they come from the volunteer rota, or from the organization’s database, tells the reader how much weight to give them.

Where your records are incomplete, say so plainly. Stating that you can confirm attendance from a certain date onward is more useful than a confident number you cannot support.

Tip: If someone needs hours verified for a school, a programme, or an official process, ask whether they need a signed form rather than a letter. Many schemes have their own paperwork and will not accept a free-form reference in its place.
