A volunteer non-disclosure agreement is a document in which someone giving their time unpaid agrees to keep an organisation’s confidential information private.
Volunteers see a great deal. They answer phones, help at events, work with service users, handle records, and sit in meetings, often with less formal onboarding than paid staff receive.
The agreement exists to make expectations clear rather than to create suspicion. Most volunteers want to do the right thing and simply need to know what that means in this setting.
Proportion matters more here than almost anywhere. A volunteer helping at a weekend fundraiser and one supporting vulnerable service users need very different documents, and a single heavy agreement for everyone usually gets signed unread.
For most volunteer roles, the sensitive material is not the organisation’s commercial information.
Service user information is the category that matters most and the one volunteers most often underestimate. Recognising someone in the community afterwards, mentioning a situation to a family member, or posting a photograph from a session all cause real harm without anyone intending it.
A signature at induction protects nobody. The conversation around it is what changes behaviour.
Give concrete examples. Telling volunteers not to discuss who they saw today, not to photograph service users, and not to look up someone they recognised is clearer than a definition of confidential information.
Cover the situations that actually arise. What to do when you see a service user in the street, when a friend asks what you do, or when a family member is curious about your shift are the moments where confidentiality is tested.
Name who to ask. Volunteers often stay silent because they do not want to seem uninformed, so give them a person and permission to check.
Keep it proportionate to the role. Someone stuffing envelopes does not need the agreement written for a befriending volunteer.
Tip: Repeat it. A short reminder at the start of a session lands better than a document signed months earlier and never mentioned again.
This limit is essential in a volunteering context, and it should be stated in the document rather than left to inference.
A confidentiality agreement cannot prevent a volunteer raising a safeguarding concern about a child or vulnerable adult. Nothing in an agreement should be drafted, or explained, in a way that suggests otherwise.
The same applies to suspected illegal conduct, harassment, discrimination, and unsafe practice. Confidentiality about an organisation’s information is a different thing from silence about how people are treated.
Explain the routes alongside the agreement. A volunteer who knows exactly who to tell, and that they are expected to tell someone, is far more likely to raise a concern early.
Include an express carve-out. Saying in the document that nothing in it prevents reporting concerns to a designated person or an appropriate authority costs nothing and removes any ambiguity.
Tip: If your organisation works with children or vulnerable adults, your safeguarding policy is the governing document and the NDA sits underneath it. Make sure the two say the same thing.
Keep it to one page in plain language. A volunteer non-disclosure agreement that reads like a commercial contract will not be read at all.

A few situations need extra care in volunteering settings.
Volunteers under 18 are common, and contracts with minors are treated differently in many places. A parent or guardian countersignature is usually sought, and it is worth taking advice on what applies where you are.
Data protection applies independently. Where volunteers handle information about identifiable people, obligations arise regardless of what any agreement says between the organisation and the volunteer.
Court-directed or scheme-based volunteering has its own paperwork. Where a placement is arranged through a programme, a school, or a formal scheme, check what that administrator requires before adding your own document.
Do not use confidentiality to discourage complaints. Volunteers should be as free as staff to raise concerns about how the organisation operates, and an agreement that appears to discourage that damages trust with the people you depend on.
