An Iowa notary acknowledgment is the certificate evidencing your declaration that you signed a record for the purpose stated in it. Iowa’s Secretary of State describes that declaration as one made on an oath or affirmation before the notarial officer, under Iowa Code chapter 9B.

The Iowa Secretary of State publishes an official handbook for notaries based on chapter 9B.

Commission

In Iowa, a notary who lives in the state serves a three-year term. By contrast, someone living elsewhere but working in Iowa serves just one year. Also, Iowa doesn’t require a notary bond.

Official Seal

Every notarized document needs the notary’s stamp or seal. It must show the notary’s name, the words “Notarial Seal” and “Iowa,” and “Commission Number” with the number. Beyond that, it carries “My Commission Expires” with the date, or a blank line where the notary writes it in.

Identification

For identification, a passport, driver’s license, or government-issued nonoperator ID works if it’s current or expired no more than three years before the act. Another government ID can also qualify under the same date rule if it shows your signature or photo. Otherwise, a credible witness who appears in person can vouch for you.

Blanks in Your Document

Before notarizing, the notary checks for blanks. You must line through or mark “not applicable” any space meant to stay empty. The notary won’t advise you on how to fill it in.

Journal and Remote Acts

A journal isn’t required in Iowa, though the Secretary of State strongly recommends one and suggests keeping entries for ten years. For remote online notarization, the notary must be physically in Iowa, and the certificate must state that communication technology was used.

No. According to the Iowa Secretary of State, a notary can’t refuse a service because the person asking isn’t a client or customer. Likewise, a notary’s employer can’t restrict the notary from serving non-customers.

As for cost, the Secretary of State’s handbook lists no fixed dollar cap. Instead, it says a notary may charge a reasonable fee for their services, so ask about the amount before your Iowa notary acknowledgment appointment.

That rule matters when you plan to use a notary at a bank or office where you don’t hold an account. The notary may still decline for other reasons, such as doubts about your identity, willingness, or awareness of what you’re signing.

A typical appointment runs like this.

1. Line through or mark “not applicable” in any blank you intend to leave empty.
2. Fill in the state and the county where the notary will be located.
3. Bring a qualifying ID, which may be expired up to three years.
4. Appear in person and acknowledge that you signed the document. You don’t have to sign in front of the notary.
5. The notary completes and signs the certificate, adds the expiration date, and applies the seal.
6. Keep the original and give copies to whoever needs them.

The Secretary of State’s handbook provides an example short form for an acknowledgment in an individual capacity. It includes:

• “State of” and “County of,” meaning where the notary is physically located
• A statement that the record was acknowledged before the notary on a specific date
• The name of each individual acknowledging
• The notary’s signature, stamp, title of office, and commission expiration date

A representative-capacity version adds the signer’s type of authority, such as officer or trustee, plus the party on whose behalf the record was signed. Under section 9B.15, the certificate must also be completed at the time of the act and signed as the notary’s signature is on file.
