A catering contract sets out what a caterer will provide for an event and what the client will pay for it. It covers the menu, the guest count, the timings, the staffing, and the terms if plans change.

Events run on assumptions, and a contract is where those become commitments. Who supplies the tables, when the kitchen can access the venue, and what happens if forty guests become sixty are all easier to settle now than on the day.

Get it signed early. Good caterers book out well ahead, and a verbal hold on a date carries none of the protection a signed agreement does.

Both sides gain from it. Caterers get a committed headcount and a payment schedule to plan against, while clients get a fixed idea of what arrives and when.

Vagueness in an event contract turns into a problem on the morning itself. Settle these in writing.

• Date, service start time, and expected finish.
• Venue address, plus access times for setup and breakdown.
• Kitchen facilities available on site, and what the caterer must bring.
• Service style, whether plated, buffet, family style, or passed.
• Staffing numbers and roles, including who supervises on the day.
• Parking, loading access, and any venue restrictions.

Venue rules deserve particular attention. Many venues impose their own requirements about approved suppliers, insurance, noise, and finish times, so check what the venue expects before signing anything with a caterer.

Confirm who is talking to the venue. Clients often assume the caterer has arranged access while the caterer assumes the client has, and nobody finds the gap until a locked door on the morning.

Tip: Put the run sheet in the contract or attach it. A shared timeline showing when canapés start and when the main service begins prevents most day-of confusion.

Three things drive both the cost and the risk, and each deserves its own clause.

The guest count is usually handled with a guarantee. A client confirms a final number by an agreed date, pays for at least that many, and the caterer prepares accordingly. Set the confirmation date in the contract and say what happens if numbers rise afterward.

Attach the menu rather than describing it loosely. Record any tasting arrangements, who pays for them, and how the caterer handles substitutions when an ingredient becomes unavailable.

Dietary requirements and allergies need explicit treatment. State how the client will communicate them, by what date, and how the caterer will label or separate those dishes. Allergen handling is the part of a catering agreement where vagueness carries real consequences for a guest, so write it down properly rather than leaving it to a conversation on the day.

Tip: Name one contact on each side for decisions during the event. Caterers should not be taking menu instructions from whoever happens to be standing nearby.

Money and cancellation clauses cause most catering disputes, so make them specific.

Set a payment schedule with dates rather than vague stages: a deposit on signing, an interim payment, and a final balance tied to the guest count confirmation. State whether the deposit is refundable, and where it is refundable in part, say exactly when that changes.

Cancellation works better tiered. Cancelling months out costs a caterer far less than cancelling the same week, and a clause reflecting that is fairer and easier to enforce than a flat figure.

Put the change process in writing as well. Menu adjustments, added hours, and extra staff all cost money, so agree how changes get approved and priced before somebody requests one by text.

Cover the disruptions that actually happen. Venue changes, weather affecting outdoor service, power or water failures on site, and a supplier letting the caterer down all deserve a sentence about who carries the cost.

Tip: Agree in writing what happens to leftover food before the event rather than after. It avoids an awkward conversation while everyone is packing down.

A catering contract binds both parties once they sign, and an agreement of this kind generally needs no witness or notary.

Licensing and food safety sit outside the contract. Local authorities set the permits for food handling, the kitchen inspections, and the rules covering where and how food may be prepared, so check your state and city requirements rather than assuming the contract settles them.

Alcohol deserves its own check. Who may serve it, under what license, and at which venues varies considerably, and getting that wrong creates problems no contract clause fixes.

Insurance is worth confirming rather than assuming. Ask the caterer what cover they carry and ask the venue what it requires, since the two do not always match.
