A cleaning subcontractor agreement sets terms between a cleaning company and another firm delivering part of the service. It records the tasks, the frequencies, the standards, and the rules for entering a client’s building.
Cleaning contracts fail on specification more than on effort. Two firms can both clean an office nightly and produce entirely different results.
Contract size changes the paperwork as well. One small office differs from a portfolio of sites on varied hours, yet both need the same specification discipline.
Access shapes the risk as much as scope does. Your subcontractor’s staff work unsupervised, after hours, inside buildings that belong to your client.
The client contract stays with you. So the standards you promised have to appear here in the same words. A general commitment to quality will not do.
Cleaning scope divides by frequency, and the agreement should follow that division.
Nightly work covers the recurring tasks: bins, floors, washrooms, and touchpoints. Frequency and task list define it entirely.
Day porter cover puts somebody on site during business hours for spills, restocking, and visible upkeep. Presence matters more here than a task list.
Periodic work runs monthly or quarterly: carpet extraction, floor stripping, high dusting, and interior glass. Say whether the price includes these or bills separately.
Specialty work covers post-construction cleans, deep sanitization, and biohazard response. Each needs its own scope and often its own crew.
Write the task list against areas rather than against the whole site. Restroom standards and warehouse standards have almost nothing in common.
Frequencies deserve the same care as tasks. Daily, three times weekly, and as required describe very different contracts at very different prices.
Also state what nobody cleans. Exterior glass, kitchens, server rooms, and personal desks all get assumed into a contract when the exclusions stay unwritten. Write them as a list rather than a sentence, so nobody misses one.
Your subcontractor holds the means to enter a client’s premises unsupervised. A cleaning subcontractor agreement should treat that seriously.
Record every key, fob, and code issued, to whom, and when. Require return within a set period once somebody leaves the account.
Name who holds alarm codes and who pays for a false-alarm callout. False alarms cost money and goodwill in equal measure.
Require a defined routine: lights, locks, windows, and alarm set. Then require reporting whenever anything is found unsecured on arrival.
Set a check-in arrangement for staff working alone at night. Also say who the cleaner calls when something looks wrong.
Require notice before anyone unlisted enters the building. Clients discover extra people through camera footage, which never goes well.
State plainly that staff do not use client equipment, phones, or computers. Then name the reporting route when something gets damaged.
Consumables cause more billing arguments in cleaning than labor rates do.
Say who buys cleaning products and which brands the client permits. Sites often restrict fragrances or specify approved lines.
Decide who provides towels, tissue, soap, and liners, and who monitors stock levels. Running out is the complaint clients remember.
Name who supplies vacuums, machines, and carts, and who maintains them. Also say who replaces equipment that fails mid-contract.
Some buildings restrict what may go on particular finishes. Confirm those restrictions before a crew brings its usual kit.
Agree what space the client provides and who keeps it tidy. A cleaning cupboard reflects on the whole service.
Agree whether consumables sit inside the rate or bill at cost. Then set the evidence required for any pass-through charge.
Cleaning quality tracks staffing stability more closely than any other factor.
Require checks appropriate to the site, with records available. Requirements differ by client and by sector, so confirm what your client contract demands.
State the people and hours committed per shift. Understaffing shows in the results long before anybody admits to it. Say how absence gets covered, because a missing cleaner is the failure clients notice first.
Name how often a supervisor attends and what they check. Unsupervised night crews drift within weeks.
Require notice when regular staff change, and a trained replacement rather than an unbriefed one.
Agree an inspection method, a frequency, and a scoring approach. Then say what follows when scores fall short twice running. Joint inspections beat reports sent afterwards, since both parties see the same floor.
Require identifiable staff, since clients notice strangers in their building at night.
The last group of terms covers what the work leaves behind.
Require safety data sheets on site for every product used, plus training for the staff using them. Keep the sheets where a cleaner can actually reach them.
State that products get used as the manufacturer directs. Concentrate applied neat damages surfaces and costs more than it saves.
Say who removes waste, where it goes, and how the client’s recycling separation works. Confidential waste needs its own route, and somebody has to own it.
Set a reporting deadline for damage and a process for assessment. Same-shift reporting prevents an argument about when a mark appeared.
Set what happens when staff find cash, documents, or personal items. Also require that nothing seen inside a client’s office gets discussed elsewhere.
Require current liability and workers compensation cover, with notice if either lapses.
Set the notice each side owes, transition duties, and the return of everything issued.
Specification is most of the job in cleaning. Write it down properly in a cleaning subcontractor agreement template and the majority of disputes never start.
