The document stays factual. It reports account history rather than judging whether the borrower deserves new credit.
One sheet is usually enough. Brevity helps here, since the reader wants a handful of figures and a signature.
Names for it vary between lenders. Some call it a verification of mortgage, and the short form VOM appears on many request forms.
Borrowers and third parties both trigger it. A borrower may ask directly, though a new lender usually sends the request to the servicer.
Servicers handle these constantly. Therefore, a complete and legible request moves through their queue much faster than a vague one.
Requests for a mortgage verification form arrive whenever someone needs proof that a housing debt is being paid as agreed.
Common situations include:
Timing rarely favors the borrower. Closings and rate locks run on fixed dates, so a slow response can cost real money.
Some servicers publish their own version. When they do, use theirs, because a familiar layout clears their review faster.
Private loans complicate matters. A loan held by an individual or a family member still needs written confirmation, though the format may be simpler.
Underwriters reject incomplete pages quickly. So fill in every line, even the ones that look obvious.
Copy the borrower’s full legal name and the property address straight from the loan documents. Add a second borrower wherever the loan is joint.
Record the loan number and the servicer’s name. Also note the origination date, since it frames the payment history below it.
State the amount borrowed alongside what remains today. The gap between those two figures shows how the loan has performed.
Break the payment into principal, interest, and escrow. Readers need to know whether taxes and insurance sit inside the payment or outside it.
Report how many payments arrived late, and how late they were. A clean record is the single most useful line on the page.
Say plainly whether the loan is current, in forbearance, in modification, or in default. Ambiguity here creates more questions than it answers.
Note the interest rate, whether it is fixed or adjustable, and how long the loan still has to run.
Add the signer’s name, role, and a direct number. Underwriters frequently call to confirm a figure.
Ask the requester whether the servicer’s own verification form is acceptable before sending anything else. Many servicers will only complete their in-house version, and sending the wrong page adds a week. Also confirm where the finished copy should be returned.
Every number belongs to the servicer’s records rather than to memory. So pull a current statement before filling anything in.
Balances move daily on an interest-bearing loan. Consequently, note the date the figures were pulled, and expect a payoff quote to differ from a statement balance.
Escrow amounts change at annual review. A figure from January may already be wrong by the summer.
Payment history needs a stated window. Twelve or twenty-four months is typical, so ask the requester which one they want.
Watch for transferred servicing. When a loan has moved between companies, the current servicer may hold only part of the history.
Second liens need their own page. A home equity line sits on a separate account. Requests covering only the first mortgage leave the file incomplete.
Most delays trace back to something missing rather than something disputed.
Frequent causes:
Authorization causes the most trouble by far. Servicers will not release account details without the borrower’s written permission, so attach it up front.
Chase the right department rather than the borrower. A verification team can resolve in one call what an inbox ignores.
Follow up in writing. A dated email creates a record if a deadline starts slipping.
Underwriting runs at the speed of the slowest document in the file. Therefore, send the mortgage verification form early rather than saving it for last.
