Step 1 – Create a Simple Cover Page

Start with a clean title page that includes:

• Your business name and contact details.
• The recipient’s name or company.
• The date.

Step 2 – Write a Project Overview

Step 6 – Outline Pricing and Financial Details

State your pricing clearly and explain how payment works. Depending on the project, you may include:

• Hourly rate: Rate, estimated hours, and billing schedule.
• Milestone payments: Payments tied to key deliverables.
• Ongoing fees: Monthly retainers or support packages.

If you reference financial terms, keep them plain and consistent. For example, “revenue,” “profit,” “expenses,” and “return on investment (ROI)” are commonly defined in business finance.

Specific pricing builds confidence. If something is optional, label it clearly, so the recipient can approve faster.

Step 7 – Add Terms, a Call to Action, and Signature Lines

Close with the practical details that help the recipient say yes. Include expectations around timelines, change requests, confidentiality, and dispute handling if needed.

Then add a clear CTA, such as “Approve and sign to begin,” and include signature lines if you want the proposal itself to be signed.

If you plan to convert acceptance into a contract, you can move straight into a business contract or service agreement after approval.
