1. Add Order Details

Start with a unique purchase order number and the date. This makes tracking and recordkeeping easier.

2. Identify the Buyer and Seller

List the buyer’s business name and contact details, along with the vendor’s information. If you have a specific contact person, include them.

3. Describe the Items or Services

Clearly list each item or service, including quantities and unit prices. The more specific you are, the less room there is for mistakes.

4. Include Taxes, Shipping, and Adjustments

Add any applicable sales tax, shipping costs, discounts, or fees. Then calculate the total amount payable.

5. Set Delivery and Payment Terms

State when and how the order should be delivered. Also explain payment timing, such as payment on receipt or within a set number of days.

6. Add Special Instructions and Sign

Include any notes the seller should know, like packaging requirements or contact rules if items are unavailable. Sign or authorize the PO to confirm approval.

Whether you can cancel a purchase order depends on its terms and how far along the seller is. If the seller has not accepted or started fulfillment, cancellation is usually easier.
