A demand for payment letter is a formal written request asking someone to pay money they owe you. It explains the amount due, why it’s owed, and when payment must be made.

A strong demand letter is clear, factual, and direct. It explains what’s owed and what happens next if payment does not arrive.

1. Add the Parties’ Information

List both parties at the top:

• Your name and address: The person or business owed the money.
• Their name and address: The person or business that owes payment.

2. Include the Date

Add the current date below the addresses so there’s a clear record of when you requested payment.

3. State the Amount Owed and the Reason

Use exact numbers and explain what the charge is for.

Example: “As of today, you owe $2,450 for website development services completed on June 15, 2025.”

4. Note How Overdue the Payment Is

State how late the payment is and when it was originally due.

5. Add Late Fees or Interest (If Applicable)

If your agreement allows late fees or interest, list them so the full balance is clear.

6. Set a Payment Deadline

Give a clear timeframe for payment, such as 10 or 14 days from receipt of the letter.

This keeps expectations clear while still offering a chance to resolve the issue. State what will happen if payment isn’t made, e.g., you plan to file a case in small claims court.

7. Provide Contact Information

Include your phone number or email so the recipient can ask questions or confirm payment.

8. Sign the Letter

Close professionally and include your signature, printed name, and contact details.

Send your letter by certified mail or another tracked delivery method so you can confirm it was received.

You can also email a copy for convenience. However, physical delivery usually carries more weight and provides stronger proof of notice.
