Writing an invoice is easy with a template. Just fill in the key sections to explain what the client owes and how to pay you.

1. Add Basic Invoice Details

Start by including:

• Unique invoice number
• Customer account or purchase order number (if needed)

This helps you track the invoice and tie it to the right transaction.

2. Enter Customer Information

Add the client’s name, address, and contact details. If you’re shipping physical items, add a shipping address too.

3. Fill In Your Business Info

List your name (or business name), address, phone number, and email. This ensures the client knows who the invoice is from.

4. List Services or Items Provided

Use an itemized list to describe what you’re billing for. Include:

• Service or product name
• Quantity
• Unit price
• Total cost per item

Then, add up everything and show the subtotal, tax (if applicable), and the final amount due.

5. Add Payment Instructions

Tell the client how and when to pay. Add:

• Accepted payment methods (e.g., credit card, PayPal, bank transfer)
• Payment due date
• Late payment fees (if any)

You can also add a thank-you note or a reminder about future work.

Once your invoice is ready:

• Email it as a PDF or Word file
• Use a clear subject line and short message
• Keep a copy for your records

If needed, you can also print and mail a paper copy. Just make sure to follow up if payment isn’t made on time. A polite reminder usually works, but if needed, you can send a demand for payment letter.

It’s easy to mix these up; here’s how they work in order:

• A purchase order is sent first. It’s a request from the client to buy goods or services.
• An invoice comes after the work is done. It asks the client to pay.
• A receipt is sent last. It confirms that payment was received.
