1. Start with the Basics

List the transaction date and give the receipt a unique number. This helps you track it later and proves when the payment happened.

2. Identify the Parties

Add the seller’s business name, address, and contact info. Then include the buyer’s name and billing address. If the shipping address is different, add that too.

3. List What Was Purchased

Describe each item or service clearly. For each entry, include:

• What was provided (product or service)
• How many units or hours
• The price per item or rate
• The subtotal before tax

4. Calculate the Total

Add up the line items, apply any tax or discounts, and show the final total. This ensures both sides know precisely what was paid.

5. Record the Payment Method

Note how the buyer paid—cash, card, check, or app. If relevant, include the last four digits of a card or the check number.

6. Add Supporting Info (If Needed)

If the purchase was tied to a purchase order or customer account, list that number too. This helps with recordkeeping or internal tracking.
